Privacy Policy
1. Who we are and what this policy covers
Sapper Advanced Technologies LLC, an Ohio company ("Sapper," "we," "us" or "our"), is responsible for the information handled through this website. This policy explains how we collect, use, protect, share and retain information from website visitors, business inquiries, project submissions, newsletter registrations and staff access to website records.
Sapper Solution is a brand name used in connection with our business. References to Sapper Solution or a group affiliation do not change the identity of the website operator or give every affiliated company access to your information.
This policy covers the website displaying it and related communications about submissions. It does not replace a separate project agreement, employee privacy notice or signed nondisclosure agreement (NDA). Our Website Terms of Use provide additional protections for submitted materials, including material that is confidential but is not personal information. A signed NDA controls conflicting confidentiality provisions. Otherwise, the more protective commitment in this policy or the Website Terms applies to confidentiality and permitted use unless we expressly agree otherwise in writing.
2. Information you provide
Contact and quotation information includes your name, business email address, company, telephone number and messages, together with the project information you choose to provide. Project details may include service type, application, quantities, materials, dimensions, weight, finishes, design status, production needs and delivery requirements. Required fields are identified on the form; we may be unable to process an incomplete inquiry.
Attachments may include drawings, specifications, photographs, revision histories, document metadata and information about your customers or colleagues. We also keep relevant correspondence, our responses and records of the permissions and preferences you give us.
Newsletter information includes your email address and any optional name, company, job title, industry or interests you provide. We record the subscription request, consent and subscription status. Submitting an inquiry does not subscribe you to marketing.
Please submit only what is reasonably necessary. You must be entitled to share the material, including any personal information about others. Do not include passwords, payment-card details, Social Security numbers or unrelated sensitive personal information. Public inquiry forms do not require a customer account or payment information.
3. Technical information and staff access
When you visit, our hosting and delivery providers receive technical information such as your IP address, requested pages, browser and device information, referral information where supplied by your browser, and request times. Operational and security records may also include errors, access attempts and information used to identify spam or misuse, including the result of the automated AI screening described in Section 8. We use these records to operate, troubleshoot and protect the website.
Submission records include timestamps and relevant consent records. Staff authentication involves account identifiers, authentication records and browser storage used to maintain sessions. Staff access is limited to authorized duties. Copies downloaded or exported by staff remain subject to the same handling and deletion requirements as the original records.
4. How we use information
We use business submissions to receive and organize inquiries, understand requirements, review project materials, communicate with you and prepare quotations. Message and description text is also screened by an automated AI check before it is saved, as described in Section 8. We use subscription information to administer separately requested updates and preferences. Technical and authentication information supports website operation, staff access, troubleshooting and security.
We also handle information as necessary to meet applicable legal obligations and administer privacy, consent and deletion requests. Any retention or disclosure for legal proceedings remains subject to our confidentiality commitments and applicable law. We do not use inquiry files for another customer's project, publish them or use them in advertising without separate explicit permission.
We do not sell personal information or disclose it for cross-context behavioral advertising. We do not use inquiry submissions to build advertising audiences. Necessary provider processing, approved project sharing and disclosures required by law are explained below. A quotation request is not an accepted order.
5. Confidential drawings and restricted information
Submitted drawings, technical files and nonpublic project information are confidential by default, whether or not marked confidential. You may submit ordinary project materials without signing a separate NDA. If you need additional protections, agree them with us before sending the material. Your ownership and the applicable rights holders' ownership remain unchanged.
We use confidential materials only for the purposes permitted by the Website Terms, restrict access to those who need it for authorized duties and require appropriate confidentiality obligations. The confidentiality exceptions in the Website Terms apply to information demonstrably already lawfully known, independently developed, lawfully received without a restriction, or made public without a breach. Those exceptions do not remove applicable personal information protections.
Do not upload classified information, export-controlled technical data, controlled unclassified information (CUI) or other material requiring special handling through ordinary website forms. Contact us first to establish a specifically authorized transfer method. An NDA, customer permission or private storage does not itself authorize a regulated transfer.
6. Hosting and service providers
The website uses Lovable Cloud for application records, staff authentication and quote-file storage. We use service providers for necessary hosting, storage, transmission, administration and security. Providers handling submissions on our behalf must process them only for authorized purposes under appropriate confidentiality and security obligations. Quote attachments must be kept in access-controlled storage rather than a public gallery.
Necessary infrastructure processing is distinct from sharing materials with a company that participates in project work. AI processing is limited to the automated form screening described in Section 8 or requires the separate approval described there, even where an AI provider also supplies other services. Contact us for information about providers relevant to your submission.
7. Sharing with project partners
We share submitted files or confidential project information with a partner, supplier or another group company for quotation or project work only after obtaining your explicit consent. Our request identifies the recipient, the material and the intended purpose. Silence, submitting an inquiry and accepting website terms are not consent to partner sharing. An affirmative email reply or another recorded approval can provide consent.
Before disclosure, the recipient must be bound by written confidentiality and purpose restrictions at least as protective as those applicable to the information. We share only what is necessary and require equivalent restrictions on further disclosure. We remain responsible for disclosures we authorize under the Website Terms.
You may refuse or withdraw permission for future sharing by contacting us. This may limit our ability to quote or perform work requiring that partner. On withdrawal, we stop new sharing and instruct the recipient to stop use and return or delete the affected material, subject to lawful retention requirements. Withdrawal cannot undo a completed disclosure.
8. AI assisted processing, form screening and your choice
Automated form screening. Before a contact or quotation submission is saved, an automated AI service reads the name and the message or description you typed and decides whether it reads like a genuine business inquiry rather than advertising, a link promotion, automated junk or gibberish. Only those two pieces of text are sent for that check; your email address, telephone number and other form details are not part of it. We use the result only to decide whether to save and route the submission, and we keep no separate copy of the screened text beyond the inquiry record itself and the limited operational records described in Section 3. The screening service operates under the provider restrictions described below. If the service is unavailable, slow to answer, or its answer is unclear, the submission is saved anyway, so a technical problem with screening never costs you an inquiry. Screening can occasionally decline a genuine request; if that happens, email or telephone us and we will handle it. This screening is part of operating and securing the website and does not require the separate AI approval described below, which continues to apply to every other AI use.
For any other use of business AI tools, such as summarizing an inquiry, organizing information, helping review drawings or drafting replies, we may propose it. Before sending identifiable inquiry content, files or confidential project information to an AI provider for those purposes, we identify the provider, purpose and material involved, explain relevant retention and access arrangements, and obtain your separate explicit consent. This policy and ordinary acceptance of the Website Terms do not authorize that processing.
We use only approved business services with contractual confidentiality protections and restrictions preventing providers from using your submissions to train or improve general-purpose models. We do not use customer submissions for our own general-purpose model training. We limit inputs to what is necessary and apply our confidentiality, retention and deletion requirements to related outputs and copies.
Staff must review outputs before relying on them for quotations, technical conclusions or customer communications. AI does not independently accept orders, certify products or replace qualified engineering and safety review. These restrictions apply both to website integrations and to staff use of external AI tools.
You may decline AI review of an inquiry and still submit it for manual review. If you do not want your message screened by the automated check above, send it to us by email or telephone and it will be handled without that screening. You may withdraw permission for future processing by contacting us. Withdrawal does not undo completed processing; deletion follows Section 12. A material change in provider, purpose or information scope requires a new notice and approval before expanded processing. Consent never overrides an NDA or applicable legal restriction. No particular AI provider is authorized merely by being mentioned in a policy update.
9. Cookies and external services
The website and its providers use browser storage as needed for features such as staff authentication and session management. Clearing or blocking storage may sign staff out or affect functionality. Browser controls can restrict cookies and stored data, but do not delete information already submitted to us.
The Contact page includes an embedded Google map, and the website requests fonts from Google Fonts. Loading these resources connects your browser to Google, which receives technical information such as your IP address and request details. Maps may use cookies or interact with an existing Google session. Google's Privacy Policy is available at https://policies.google.com/privacy. Merely avoiding interaction with an already loaded map does not prevent the initial connection.
We do not use advertising pixels or cross-site marketing trackers for our own advertising. If we introduce optional analytics or other tracking, we will describe the actual services and purposes and provide legally required choices before activating them. Where applicable law requires consent for nonessential storage or external services, those resources must remain disabled until consent is given. We honor legally required opt-out preference signals for the processing to which they apply; such signals do not themselves delete an inquiry or unsubscribe you from email.
External links lead to services governed by their own privacy policies. This does not remove our obligations for providers we engage to handle your information. If you prefer to avoid loading website resources, you can contact us using the telephone or postal details in Section 17.
10. Newsletter and email choices
Newsletter signup is voluntary and separate from inquiries, partner approvals and AI approvals. A signup may remain pending; an on-screen acknowledgment does not guarantee that a confirmation email was sent or that delivery has started. No fixed newsletter frequency is promised.
Use the unsubscribe instructions in a marketing email or contact info@sappersolution.com to withdraw a registration or stop marketing. We honor marketing opt-outs within 10 business days, or sooner where applicable law requires. We may retain a minimal suppression record to prevent accidental resubscription. Necessary non-marketing correspondence about an inquiry, security issue or legal obligation may continue.
11. Required disclosures and business transfers
Where disclosure is required by law, we disclose only what is required and give reasonable advance notice where legally permitted so that you may seek protection. We do not treat this provision as general permission to distribute confidential project files.
If the relevant business is merged, reorganized or transferred, any transfer of covered information must comply with applicable law and binding confidentiality restrictions. The successor must assume our applicable obligations. A business transfer does not expand permitted uses or replace consent required for partner sharing or AI processing.
12. Retention and deletion
For an inquiry that does not become an order, we retain uploaded files and substantive inquiry records for no longer than 12 months after the last substantive communication about it, unless you request earlier deletion or a legal obligation requires longer retention. Marketing messages and automated reminders do not restart that period. If the inquiry becomes an order, project records follow the applicable agreement and legal retention requirements.
You may request earlier deletion at info@sappersolution.com. After reasonably verifying your authority over the submission, we remove covered material from active systems within 30 days unless a shorter legal deadline applies or retention is legally required. Where a legal obligation or preservation duty prevents deletion, we restrict use to that purpose and explain the exception where permitted.
Backup copies may remain until the normal secure deletion cycle completes. They are not used for ordinary business purposes, and applicable deletions are reapplied if a backup is restored. We communicate deletion instructions to service providers and authorized partners holding copies for us, subject to lawful retention duties. Our requirements also cover staff exports and identifiable or confidential AI outputs derived from the submission.
Newsletter details are retained while the registration or subscription remains active, subject to withdrawal and periodic review of unused pending registrations. Technical and staff-access records are retained only as long as reasonably needed for operation, security and applicable legal requirements. Limited consent, deletion and suppression records may remain where needed for compliance, without retaining underlying technical files unnecessarily. Clearing browser storage or unsubscribing does not itself delete an inquiry.
13. Security and incidents
We apply reasonable administrative, technical and organizational safeguards appropriate to the information, including restricted staff access and confidentiality requirements for those handling submissions. No website, email channel or storage service can eliminate all risk. This policy does not claim a particular security certification or independent audit.
Report suspected unauthorized access to info@sappersolution.com without resending sensitive files or passwords. We investigate reported concerns and provide incident notices required by applicable law and binding agreements. Security limitations do not cancel our confidentiality or authorized-use commitments.
14. Privacy requests and legal rights
Contact us to ask about information you submitted, request access or correction, request deletion, or withdraw newsletter, partner-sharing or AI permission. Include the email address used, approximate submission date and a description of the request. Do not send government identification or additional confidential files unless we have agreed on an appropriate verification method.
We may reasonably verify your connection to a record and the authority of anyone acting for you before disclosing, changing or removing it. Verification must be proportionate to the request and protect other people's information and confidential business materials. We will explain any refusal or limitation where permitted and provide applicable appeal instructions.
Depending on the law that applies, you may have rights to access, correct, delete or obtain a portable copy of personal information; restrict or object to processing; withdraw consent; opt out of specified uses; appeal a decision; or complain to a competent regulator. We honor applicable rights and deadlines and do not unlawfully discriminate against people who exercise them. These rights are subject to lawful exceptions. Our express inquiry-deletion and consent commitments also apply as described above; they do not depend solely on statutory eligibility.
15. Location and international processing
Sapper operates from Ohio. Providers may process information in other parts of the United States or other countries. This policy does not promise storage exclusively in Ohio or the United States. Contact us before sending material that has location or transfer restrictions.
Where applicable law requires a lawful basis for processing, we use the relevant basis for the activity, such as consent for separately approved optional processing, steps requested before a contract, legal obligations, or legitimate interests in responding to business contacts and securing the website, subject to applicable balancing requirements. We apply required international transfer safeguards and provide relevant details on request. Visiting the website is not, by itself, consent to a restricted international transfer or a waiver of privacy rights.
16. Children and policy changes
This is a business and industrial-services website intended for adults. It is not directed to children under 13, and we do not knowingly collect their personal information. Do not include children's information in an ordinary inquiry. If you believe such information has been submitted, contact us so we can investigate and delete it where required without collecting unnecessary additional details.
We identify the version and effective date when publishing this policy. Changes apply prospectively. We provide appropriate notice of material changes and obtain fresh consent or authorization where required before applying a new use to previously collected information. Posting a revised policy alone does not authorize new partner sharing, AI processing or model training, and cannot override a signed NDA or mandatory legal rights.
